Privacy: calls to Solanova's phone line

1. What this covers

This explains what happens to your information when you call our business phone line. "Solanova," "we," and "us" mean Solanova LLC, 1700 Wells Rd, Suite 4, Orange Park, FL 32073.

It covers calls to that number only — not the rest of our website, email you send us, or any Solanova product.

2. An AI answers our phone

When you call, you talk with an AI assistant, not a person. Its voice is computer-generated.

The first thing you hear is the assistant telling you it is an AI and that the call is recorded, and asking whether that is okay. Calls are recorded and transcribed from the moment we answer. If you say no, we delete the call (section 3).

The assistant takes your questions and details so our team can follow up. It does not give quotes, schedule work, agree to anything on our behalf, or take payment. A person follows up with you.

3. If you say no, or change your mind

If you say no — or hang up while the assistant is telling you about the call — the assistant ends the call. Because recording starts when we answer, the first moments will already have been recorded. We then delete the recording and the written record from our systems, ask our phone provider to delete its copy, and check that the recording link no longer works. What stays with our phone provider is a billing record that a call happened: no recording, no written record, and not your phone number.

The same applies if you agree and then change your mind during the call — tell the assistant, and the call ends and is deleted the same way.

We keep a short record of what you were told and what you answered, with your phone number and the time, for at least five years, as proof that we asked.

4. What we collect if you say yes

  • The recording and a written record of the call.
  • Call details — your phone number, when the call was, how long it lasted.
  • Call notes — a short summary for our team.
  • What you tell us — the assistant asks for your name, your business, the best way to reach you, and what you'd like help with. Only your name and one way to reach you are needed.

We never ask for card or bank details, Social Security or other ID numbers, passwords, or health information, and we ask you not to share them. If you do and we find them, we delete them from the written record and notes.

We don't create voiceprints or identify you by your voice.

5. How we use it

To follow up with you, to pass your message to the right person, to check the assistant is working properly, and to keep a record that you agreed to be recorded. We contact you only about your enquiry. We don't use your details for marketing.

6. Who helps us handle it

We use service providers to run the phone line: a telephone carrier, a voice-AI platform that connects the call and turns speech into text, AI model providers that generate the assistant's replies and write the call notes, a database, hosting, and an email service that delivers your message to us. They handle call information to provide those services to us. We may also disclose call information if the law requires it, or to protect someone's safety.

We do not use your call to train AI models, and we do not sell your information or share it for advertising.

7. How long we keep it

We keep recordings, written records, notes and call details for 90 days, then delete them — unless you ask us to delete them sooner, or we need them to resolve a dispute or meet a legal obligation. If you become a client, what you told us moves into our client records.

We keep the record of your answer (section 3) for at least five years.

For a short period after deletion, copies can remain in backups until those are overwritten.

8. Asking for a copy or deletion

Email hello@solanova.dev with the number you called from and roughly when. We'll check the request comes from you before sending or deleting anything, and we respond within 30 days. If we call you back, a person makes that call, not the AI.

9. Where it's stored

In the United States. Only our founders can access call information, including through the tools they use to run the phone line.

10. Age, and where we operate

Our phone line is meant for adults calling about business. We don't verify anyone's age. If it becomes clear a caller is under 18, the assistant ends the call politely and we delete that call. Our services are offered in the United States only, and the line accepts calls from US numbers.

11. Changes, and how to reach us

If we change how we handle calls, we'll update this page and the date above before the change takes effect.
